Using the Open Orders Page

Overview

The Open Orders page gives you a single, up-to-date view of every active order you have running through Cofactr, from the moment a purchase is placed until it's delivered. You can see where each order stands, what's on time, and what needs your attention, all in one place.

Cofactr built this page in direct response to customer feedback: the most common feedback we hear from customers in regards to orders running late isn't that an order is late itself, it's not knowing about it soon enough. The Open Orders page, paired with our internal monitoring, is designed to close that gap.

Where to find it

The Open Orders page is available from the left-hand navigation of the Cofactr platform, under Orders, then Open Orders.

There are two levels to it:

  • Open Orders Dashboard: a high-level, visual summary of all your active orders.

  • Updates tab (on each order): a detailed timeline of every event and activity logged against that individual order.

You can also use the search bar at the top of the dashboard to look up a specific order by cart name or order code.

How to read the dashboard

Each order on the dashboard is shown with its current status, progress, and key dates, so you can tell at a glance whether things are moving as expected.

  • Status at a glance: Each order shows a status label such as On Time, Delayed, or Attention Needed, along with a color-coded progress tracker, so you can quickly separate what's on track from what needs a closer look.

  • Dates: For orders where the delivery date has moved, you'll see both the original delivery date and the updated delivery date, so it's clear what changed.

  • High-level and detailed views: The dashboard works whether you just want a quick pulse-check on all your orders or you need to drill into a specific one.

To see the full history of an order, including every confirmation, shipment, delay, or note logged along the way, open the Updates tab on that order. This gives you the complete timeline behind the summary status shown on the dashboard.

How Cofactr keeps this page current

Behind the scenes, our procurement team monitors every order daily and works to resolve issues, whether that's sourcing an approved alternate, following up with a supplier, or re-confirming a ship date, before they ever reach your dashboard as a problem. Many issues are caught and fixed without ever needing to involve you.

When something can't be resolved internally, or a decision is needed from you (for example, approving a cost increase or accepting a delay) Cofactr will reach out proactively by email. Routine updates and internal fixes are reflected on the platform without generating an alert, so you won't be notified for every minor change, only the ones that matter.

What you should do with this page

  • Check it regularly instead of waiting for a status email. It's the fastest way to see what's moving, what's delayed, and what's arrived.

  • Use it as your first stop before reaching out to your Cofactr contact for a status check. In most cases, the answer you need is already there.

  • Watch for delayed flags and treat those as the priority items to review first.

  • Use the Updates tab if you want the full story behind a status: what happened, when, and what Cofactr did about it.

  • Reply promptly to proactive emails tied to a specific order. These are sent when a decision from you is needed, for example approving a delay, cost change, or substitution, so a quick reply keeps your order moving.

  • Flag anything time-sensitive to your Cofactr contact directly. If you have a critical or "hot" project, let your CSM know, and Cofactr can help make sure those orders get prioritized attention.
