Distributor Negotiated Pricing
Last updated: September 15, 2025
If you have received blanket negotiated pricing on one or more parts from a distributor, you may be able to authorize Cofactr to buy using that pricing on your behalf. This allows you to leverage your preferential supplier pricing, but keep the convenience of purchasing in Cofactr.
Negotiated Part Pricing
End User Authorization: If you haven't already completed an End User Authorization form, please complete one here: https://app.hellosign.com/s/EtLoUxcF
Confirm with Supplier: Not all suppliers will allow us to leverage preferential pricing on your behalf. Please send your assigned sales representative a request to permit Cofactr to purchase against this quote for you. A sample email is provided below.
Send Cofactr the Quote: Forward the quote to success@cofactr.com. We will configure it in your account for you.
Sample Email
Hi,
{your company name here} uses a service called Cofactr to manage our parts procurement. I would like them to be able to purchase {MPN of part} under the terms of quote {number of quote you received}. Can I introduce you to them so they can make purchases on my behalf?
Thanks,

Distributor Negotiated Pricing (via API)
Integration Types:
Cofactr Spot Buy or Purchase Through a Program/BOM: This is our standard method for handling orders through Cofactr. You will receive the distributor's public pricing, and Cofactr will invoice you for the charges associated with your purchase. All order tracking and updates will be handled for you automatically via the Cofactr platform.
Custom Pricing API:
This allows the distributor to provide Cofactr with your custom-negotiated pricing for all parts. These prices will appear in Cofactr alongside all other pricing and will be automatically used by the Purchase Optimizer. Setting up distributor APIs requires more implementation, more information can be found here. Purchasing via Uploadable PO or Order API (where supported) will not incur additional processing fees.
Uploadable PO:
This distributor provides a method for uploading purchase data as a CSV or other data file. The Cofactr platform allows you to automatically generate a PO to this supplier and will provide an export of a file that is ready for your team to upload to this distributor's website. You will have the option of manually receiving order tracking and updates and adding them to the Cofactr platform via the Orders app yourself or using Cofactr Managed Orders to automate this process for you. Using Cofactr Managed Orders requires specific implementation and will incur additional processing fees.
Email PO:
If you have a contact at your distributor who supports processing order submissions via emailed PO, the Cofactr platform allows you to automatically generate a PO to this supplier and email it to your designated contact. You will have the option of manually receiving order tracking and updates and adding them to the Cofactr platform via the Orders app yourself or using Cofactr Managed Orders to automate this process for you. Using Cofactr Managed Orders requires specific implementation and will incur additional processing fees.
Order API:
This distributor supports submitting orders via an API connection. We will implement this connection using your API credentials, and all purchases will be made using your pricing and your terms with this distributor. You will be billed directly by the supplier. The ordering process will be fully automated via the Cofactr platform.
Order Status API:
This distributor supports checking order status via an API connection. The Cofactr platform will automatically handle order tracking and updates for you.
Order/Order Status EDI:
This distributor supports submitting orders and checking status via an EDI connection. This will function similarly to using an Order/Order Status API connection, but the implementation process is more complex, and there are additional costs associated with this method. Typically, distributors will only make this option available to customers who already spend a large amount with them.
